Who we are

We respect your privacy. This policy explains how we collect, use, store and protect your personal information, in line with the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs).
What information we collect
- Contact details — name, phone, email, suburb.
- Referral & participant information — the person's details, date of birth, NDIS number, plan-management type, the supports they're seeking, and any communication, access, health or risk information you choose to share.
- Feedback — the details of any compliment, concern, suggestion or complaint.
- Job applications — your experience and availability, and any documents you attach, including your resume and compliance documents (NDIS Worker Screening, Working with Vulnerable People card, police check, First Aid certificate).
How we collect it
We collect information directly from you — through the forms on this website, by email, by phone, or in person. Where someone refers another person, we rely on the referrer's confirmation that the person (or their representative) has agreed to the referral.
Why we collect it and how we use it
We only use your information for the purpose you gave it to us:
- to respond to referrals and provide safe, person-centred support;
- to respond to and resolve feedback and complaints fairly;
- to assess and process job applications; and
- to meet our obligations under the NDIS and the law.
Sensitive information
Some of what we collect is sensitive information — health and disability information, and criminal-history and screening checks. We only collect this with your consent (or your representative's), handle it with extra care, and use it only for the purpose it was provided.
Who we share it with
We do not sell your information. We only share it where needed to provide your support and with your consent — for example with relevant health professionals, your support coordinator, or NDIS bodies — or where we are required to by law (for example, reportable incidents to the NDIS Quality and Safeguards Commission).
How we store and protect it
We store your information securely and limit access to authorised staff who need it for their role. Documents you attach (such as compliance checks) are kept confidential and access-restricted. We keep your information only as long as we need it for the purpose it was collected or as the law requires, and then securely destroy or de-identify it. In practice: forms you send us through this website or our apps (including incident reports, complaints and timesheets) are kept for seven years from the day we receive them, as NDIS record-keeping requires, and then deleted; sign-in and activity records from our apps are kept for the same period; questions asked of Navi for 90 days.
Your rights
You can ask us to access or correct the personal information we hold about you, or withdraw your consent, at any time. Just contact us using the details below.
Complaints
If you have a privacy concern, please contact us first — we take it seriously and will respond promptly. If you're not satisfied with our response, you can contact the Office of the Australian Information Commissioner (OAIC) at oaic.gov.au.
Our apps
IGYE Crew, IGYE Workers and IGYE Crew Admin are our own apps. You can install them from this website or from an app store. They are the same system as this website, in an app shape — so everything above applies to them too. This section covers the few things that are only true on a phone.
- You sign in with an IGYE username and password. We do not ask you for a Google, Apple or Facebook account, and the apps never sign you in through one.
- You only ever see your own things — your shifts, your documents, your induction. Crew Admin is for our office staff and shows the whole roster, because that is their job.
- Reminders carry no details. When we send a reminder to your phone, the message that travels through Google's or Apple's notification service is empty — it only says “wake up”. The app then fetches the words itself, over your own sign-in, on your phone. No shift, address, participant name or worker name ever passes through Google or Apple.
- No advertising and no tracking. There are no ads in our apps, no third-party analytics, and nothing about you is sold or shared with advertisers. We do not track you across other apps or websites.
- We do not ask for your location, contacts, photos, camera or microphone. The only permission the apps ask for is notifications, and only if you say yes.
- Where it is kept. App information is stored in the same secure systems as the rest of our records — our Cloudflare and Microsoft 365 accounts — and only authorised staff can reach it.
Turning reminders off. You can switch notifications off at any time in your phone's settings, or in the app itself. Nothing else changes if you do.
Closing your account. If you want your app account closed and the information held in it deleted, email theteam@igye.org or ring 0487 570 470 and we will do it. Some records have to be kept for a period under NDIS and employment law — we will tell you plainly which ones and for how long.
Website analytics
We use Google Analytics on the public pages of this website to count visits and see which pages are useful, so we can keep improving the site. It uses cookies and sends technical information about your visit (the pages you view, your browser and device type, and your approximate region) to Google. IP addresses are anonymised before they are stored, advertising features are switched off, and we never link analytics data to a name, a form you send us, or an NDIS record.
Analytics is not used on the staff sign-in, the incident report form, the Support Workers Hub, the Crew Hub, the Admin Hub or our apps. You can opt out of Google Analytics on every website with the Google Analytics opt-out browser add-on, or by blocking cookies in your browser.
Changes to this policy
We may update this policy from time to time. Any changes will be posted on this page.
